Every proposal is rebuilt from nothing because finding the one for the similar client takes longer than writing it again.

The mess

The firm's asset is eight years of deliverables, and they are split between the partner's Drive, two consultants' laptops and a shared folder nobody ever cleaned. When a request arrives that resembles something already done, search by file name does not find it, so it gets written again and the same hours get billed twice.

Where the mess lives

The route to the file is what gets lost

  1. A consultancy sells hours of judgment and stores the result in documents. The document gets filed and the judgment does not. Eight years later the firm has two hundred good deliverables and no way to reach the one that helps today.

  2. Nobody remembers that the 2023 review for the municipality had exactly the risk matrix the new client is asking for, because the file is called "Final report MUNI rev PARTNER.docx".

  3. So it gets rebuilt. The firm pays twice for the same intellectual work, once when it invented it and once when it lost it, and the same hours are billed twice.

  1. The deliverables go in whole: proposals, reports, matrices, decks, minutes, the emails worth keeping. They are indexed at no cost and searchable by what they say inside. A PDF from 2019 is as reachable as this morning's document.

  2. Every project starts with a main note, and that is where how this firm works gets written: proposal structure, scoping criteria, what is never promised, the fee template. The agent reads it before writing anything.

  3. Each client project is a branch of the tree with its own team. A consultant who leaves the project leaves the access. One client's material does not cross into the next one's through a careless shared folder.

Find the three closest pieces of work we have done, tell me what scope we offered and at what price, and draft the proposal using our structure.

What the agent does

A request arrives: the structure of an eighty-person family business. The agent finds the three, reads the scope and fees of each and the main note with the firm's structure, and writes the draft into the new folder, citing its sources.

The work is recorded by day and by process, and inside the application you can see at any moment how much of your plan the month has used, so you know where the firm stands before the invoice arrives.

What we will not promise you

The part no ERP keeps

  1. This is not a project ERP and it does not track billable hours or receivables. It holds the knowledge behind the work.

  2. The agent will not price a project for you. It will show you what you charged for similar work, with the document in hand. The commercial decision stays yours.

  3. AI usage is measured and displayed, but today it does not cut off on its own when it reaches the budget. If a month runs over, you will see it in the meter and we will tell you. We will not claim a ceiling that is not switched on.
