The mess

Each account accumulates guidelines, approvals and lessons that only the person running it knows. When that person goes on vacation, the stand-in starts by asking what has already been asked three times. And the proposal for the new prospect is written on a blank page, even though the agency won two similar pitches.

  1. The account manager knows this client will not accept the word "revolutionary", that they approve in two rounds, and that the brand manager hates the competitor's blue. None of that is written anywhere.

  2. When the team rotates, and in this business it rotates, the agency goes back to round zero with a client who has been through this before and does not understand why they are being asked again.

  3. The other loss is commercial. The agency won a retail pitch last year with a structure that worked. A similar brief arrives and someone starts from an empty template, because nobody remembers which folder that proposal is in.

What Vonzay does

Each account gets the note that was missing

  1. Each account is a branch of the tree with its own main note: who decides, how they approve, what is allowed and what is not, the tone, the banned words, what was tried and did not work. A new account manager reads it on day one.

  2. That account's agent reads the main note, its memory and its open tasks before answering anything. That is why what it drafts sounds like that brand. What it learns it writes back into the vault, dated and sourced.

  3. Permissions are a commercial requirement here: two accounts in the same sector cannot see each other. Each branch is a compartment, and anyone not assigned does not get in.

A concrete example

Find the retail proposals we won, tell me what structure we used and what objections we got, and draft the outline for the new proposal.

What the agent does

A request comes in from a pharmacy chain. The agent finds the two winning proposals and the minutes where the client raised objections, and writes the outline as a new note in the prospect's folder, linking each block to its source.

You review, correct, and the correction is there for the next one. Brand books, reports and transcribed recordings sit beside it, indexed at no cost.

What we will not promise you

Knowledge and text, not visual production

  1. Vonzay is not a design tool. Visual production stays in the tools where it already is; what lives here is the knowledge behind each account and the text that comes out of it.

  2. It is not a project manager with a timeline and it is not an asset approval tool with a formal workflow. There are tasks inside each account's main note, and they do what they do.

  3. There is no simultaneous editing of the same note. If two people write over the same file at the same time, the last save wins. In practice everyone works on their own thing and the area's conversation coordinates the rest.
